Many of you will be aware that Steve Dormer, who has been the Company Secretary for the past14 years, has been looking to move out of the area since his retirement. Steve has now successfully completed this move to the north of the country. As a result the executive committee are looking to fill the vacancy left by Steve.
Whilst looking at options with the existing committee the committee would be keen to hear from anyone who has an interest in the role and has some experience in the duties undertaken by the secretary. The key responsibilities for this role are outlined below.
Set in place regular meetings for board meetings.
Prepare AGM agenda and issue to membership secretary for printing
Accept apologies from any member not able to attend meetings and keep records of such.
Record and produce and store an accurate set of minutes of each board meeting, the AGM and any other meetings as requested by the directors.
Issue minutes to relevant parties in advance of next meeting.
Present at executive meetings any correspondence issued in the intervening period.
Record nominations of anyone wishing to become a director
Arrange insurances for the company and directors, issue copy to estate office for issuing to land owners as appropriate
Maintain a record of tools, equipment and stores help by the company
Compile newsletter following AGM and pass to membership secretary for printing
